Privacy Policy
Stoke Laptops Ltd ("we", "us") is committed to protecting your privacy. This policy explains what personal information we collect, why, and what we do with it. We take extra care because, in repairing and refurbishing devices, we sometimes handle more of your data than an ordinary shop.
1. Who we are
Stoke Laptops Ltd is the data controller responsible for your personal data.
- Registered in England & Wales, company no. 13179060
- Address: 18 Stafford Street, Stoke-on-Trent, ST1 1JQ
- Contact: WhatsApp, text or call 07542 550882, or in store
2. The information we collect
Depending on how you deal with us, we may collect:
- Contact details — your name, phone number and address (we take an address for repairs so we can notify you and meet our legal obligations around uncollected items)
- Device information — make, model, serial number, and the fault or work required
- Data stored on your device — during a repair we may need access to your device, which can contain personal files, photos, messages and accounts
- Order details — items bought, delivery address, and order history (online accessories)
- Payment information — card payments are processed securely by our payment providers; we don't store your full card details
- Proof of eligibility — for student, blue light or veteran discounts we check valid ID at the point of sale; we verify it and do not keep any copies
- Website data — basic analytics and cookies (see section 8)
3. How we handle data on your devices
This matters most, so we set it out plainly:
- We only access what we need to diagnose and carry out the repair you've asked for.
- We do not browse, copy, share or retain your personal files.
- Please back up and, where possible, remove sensitive data before handing a device in — we take care but can't be responsible for data (see our Terms).
- Before we resell any refurbished device, its storage is securely wiped so no previous owner's data remains.
- Where you ask us to destroy your storage, this is carried out via a trusted third-party (charity) partner and a certificate is provided. Please note eMMC storage can't be physically destroyed.
4. Why we use your data, and our lawful basis
- To carry out repairs and fulfil orders — performance of our contract with you
- To contact you about your repair, order or collection — contract / legitimate interests
- To honour guarantees and handle returns — contract / legal obligation
- To meet legal duties — for example serving notices for uncollected items, tax and accounting records
- To prevent fraud and protect our business — legitimate interests
- For marketing, only if you've agreed — consent (you can opt out any time)
5. Who we share it with
We don't sell your data. We share it only where needed:
- Suppliers who ship online accessory orders to you
- Our payment providers to process payments
- Our recycling and destruction partner where you use that service
- Couriers and delivery partners for online orders
- Authorities or advisers where we're legally required to
6. How long we keep it
- Repair and sales records: kept as long as needed for guarantees and legal or accounting requirements (typically up to 6 years for financial records)
- Device data: not retained beyond completing your repair
- Marketing preferences: until you withdraw consent
7. Your rights
Under UK data protection law you have the right to access, correct, delete or restrict use of your personal data, to object to certain processing, and to data portability. To exercise any of these, contact us using the details in section 1. You also have the right to complain to the ICO (ico.org.uk) — though we'd appreciate the chance to put things right first.
8. Cookies and website
Our website uses cookies to make it work and to understand how it's used. You can control cookies through your browser settings.
9. Security
We use appropriate measures to keep your data safe, including secure handling of devices in our care and secure wiping of storage before resale. No system is completely secure, but we take our responsibilities seriously.
10. Changes
We may update this policy from time to time. The current version will always be on our website.
